We are recruiting a part-time Governance and Event Officer.
This is a varied but exciting role whereby the post holder will provide support across a broad range of Foundation activities, including governance, risk management, event and administration support. The Foundation operates a small team and cross-working, and support are vital to the success of the organisation.
This is an exciting time to join the organisation and make a critical contribution to our fundraising strategy for the vibrant historic communities in and around the new East Bank capital development in East London on the Queen Elizabeth Olympic Park. We work with specifically with the people, places and organisations in Hackney, Newham, Tower Hamlets and Waltham Forest and our East Bank partners.

About the role
Position: Governance and Event Officer
Type: Part-time 4 days per week, 30hrs, including occasional out-of-hours working, for which time off in lieu will be given
Location: Hybrid (Home and East London)
Salary: Up to £42k pro rota
Reports to: Interim CEO
You will be responsible for servicing our Trustee Board, Committees and other appropriate meetings, including meeting arrangements, administration support and minute-taking.
You will support the Interim CEO and Head of Finance, ensuring governance and policies for the Foundation are up-to-date and appropriate. You will also support the Director of Fundraising and Development and the Programmes and Communications team in event planning and management to support the delivery of fundraising and networking/stewardship events.
You will have a passion for good governance and organisational processes, which includes an understanding of charity governance, best practices and the principles of what a good organisational structure looks like. You will also have a good working knowledge and/or experience in administration and/or event planning and management. You will be an excellent communicator, with an eye for detail and a proactive can-do attitude. You will also have a desire to get things done efficiently and well.

Key responsibilities
- Maintain the annual Board and Committee meeting calendar
- Meeting administration and minute-taking
- Support interim CEO in diary management/meeting organisation
- Format, check and circulate Board committee papers
- Organise room set up and refreshments for board and committee meetings
- Design and implement an annual leave recording system
- Initiate and manage a policy register ensuring policies are in place, up to date and renewed
- Support where needed for insurance renewal and audit assistance as and when needed
- Work with the Foundation’s HR support to ensure contracts, onboarding packs and IT needs are in place
- Ensure that information is obtained, used and stored per our Data Protection and Confidentiality policy
- Assist in Trustee Governance procedures and policies, ensuring all Terms of Reference and Companies House information is correct, including Trustee training as and when needed
- Work with all Foundation team members to assist with event planning, design and development from conception through to delivery, including fundraising activities and platform-raising events
- As and when needed, assist the Director of Fundraising and Development on research work for potential donors/investors
- Manage and co-ordinate suppliers and all event logistics for example: venue, catering, travel etc
- Research venues, suppliers and contractors, negotiate prices and hire etc.
Person specification
- A demonstrable understanding of charity governance/best practices gained from working in the sector
- Experience in administration and/or event planning
- Excellent communication skills including the ability to communicate confidently with Trustees, senior leadership teams, partners, stakeholders and grantees
- Ability to write clearly and concisely with strong administration skills
- A high degree of attention to detail with the desire to get things done, make improvements and operate with speed when needed
- Strong IT skills, with good experience in using the Microsoft Office suite
- Strong organisational and interpersonal skills
- Ability to multi-task and work to tight deadlines
- Self-motivated, driven, flexible, and enthusiastic
- Strong time management skills
- Ability to work flexibly on own initiative or as part of a small team, supporting fellow team members.
- Ability and willingness to learn and develop new skills and knowledge
